Program Showcase

All grantees are invited and encouraged to bring examples of your program materials for the Program Showcase. You are not expected to create anything new, but rather bring materials that you have developed in the course of your program: brochures, posters, news clippings, survey instruments, results from your local evaluation, tools, etc. If you have presented a poster at another conference, you are welcome to bring that as well. Please bring display copies and , if possible, up to 100 copies as handouts. Each grantee will be provided table and poster board space for display purposes. The program showcase is one of the highlights of the meeting, and we hope you will participate.

The following will provide you with important Program Showcase logistics information and poster display requirements, such as setup, tear-down, and pre- and post-shipping and handling.

A confirmation e-mail will be sent to you with your assigned exhibit space number in mid-January, 2010. The Program Showcase will be located in the Arctic/Atlantic sections of the Oceans Ballroom. We are requesting that poster presenters follow the guidelines listed below and ask that you carefully review all pertinent information.

Campus Program Showcase Presenters (Campus Grantees)

Posters and materials for the Campus Program Showcase may be set up on Monday, February 1, 2010 from 2:00 p.m. – 6:00 p.m., or Tuesday, February 2, 2010 from 7:00 a.m.–8:00 a.m. Please notify Susan Frate, ESI Program Showcase Manager, if you are unable to comply with this timeframe.

  • Poster presentation areas are 8’x10’ and include a horizontal 4’x8’ poster board with push pins for mounting (tape or Velcro tabs are also available onsite), a 6’ skirted table, and two chairs. Posters may be a single piece or multiple pages, as long as they fit within the poster board dimensions. If you choose not to have a poster board, or would like to request additional services for your area, please notify Susan Frate at 240-744-7092 or susanf@esi-dc.com on or before Friday, January 15, 2010.

  • All posters should clearly display the following: poster title and affiliation/organization.

  • All posters must be taken down and materials removed from the Oceans Ballroom no later than 5:00 p.m. on Wednesday, February 3. Exhibit/Poster materials will be disposed of if unclaimed by the removal deadline.

Shipping and Material Handling Logistics

  • If you wish to ship your posters or printed materials to the hotel in advance, plan on having them arrive no earlier than Thursday, January 28, 2010.

  • For shipping to the Doubletree Resort Orlando, items should be addressed to the grantee or person who will be staying at the hotel and in charge of claiming the shipment and setting up their poster presentation area.

  • Please label your shipment as follows:
